Which inbound shipments require an appointment, and which do not?
  1. Shipments delivered via standard parcel carriers such as UPS, USPS, FedEx, DHL, etc. do NOT require an appointment. The warehouse will receive them directly.
  2. If the final delivery to the FBT warehouse is made by truck, including LTL, FTL, or other truck delivery methods, an appointment is required in advance.
How to make an appointment?FBT currently only supports online appointment booking. Please follow the process below to determine and select the correct appointment method.Make sure to use the correct appointment type. Using an incorrect appointment method may affect normal inbound receiving and cause delays.

Inbound Appointment SLA & Operational Requirements

  • Appointment Lead Time: Please schedule the appointment at least 4 business days in advance.
  • Which Shipments Require Appointments: Only truck deliveries require an appointment. Each carton must have a carton label attached. Pallet labels must be attached for palletized (freight) shipments. Currently, only palletized truck deliveries are supported. Parcel deliveries do not require an appointment.
  • All truck deliveries to the warehouse—FTL, LTL, FCL, or LCLmust have an appointment.
Note: DHL/FedEx freight (truck) deliveries are also considered truck deliveries and require an appointment. Parcel deliveries do not require an appointment.
  • Delivery Time Requirement: Drivers must arrive at the warehouse on time according to the confirmed appointment window. If the driver fails to arrive on the scheduled day and the appointment is not canceled, it will be marked as a No-show exception.
  • Appointment Cancellation Requirement: If your delivery plan changes, please cancel the appointment at least 24 hours in advance. Late cancellations will be flagged as an anomaly.
  • Inbound Orders Without Appointments: Inbound orders without a valid appointment may be rejected by the warehouse, or an inbound exception notice may be generated after receiving. Up to 10 IBRs can be linked to one appointment. If multiple IBRs are delivered under one appointment, ensure all required IBRs are linked during booking by you and your freight forwarder.
  • Multiple Appointment Requirements
    • One appointment = one truck. Each appointment can receive only one truck.
    • If one IBR requires multiple trucks, you must create multiple appointments. Each IBR can be scheduled for up to five appointments.

Online Appointment Feature & Process

To facilitate sellers’ appointment booking and improve inbound receiving efficiency, the previous offline inbound appointment process has been upgraded to an online appointment system. With the online appointment feature, sellers may choose to book appointments by themselves or authorize their freight forwarder / overseas warehouse to book on their behalf.

  1. When confirming shipment, sellers are required to select the estimated arrival week at a weekly level. The accuracy of the estimated arrival week will impact the available delivery dates and time slots for subsequent appointment booking.

2Inbound Appointment – Seller Self-Booking – Appointment Submission
  1. Sellers must schedule an appointment at least 4 business days in advance.
  2. Each inbound order (IBR) can add up to 5 appointments, and each appointment can deliver a maximum of one truck only. If one inbound order requires multiple trucks or multiple deliveries, please click 【+ Add appointment】 to add additional appointments.
  3. Online inbound appointments can be booked by the seller or the seller's authorized freight forwarder / overseas warehouse. Below we first introduce the seller self-booking flow, where sellers select “Book a delivery appointment on my own”.
  4. When booking an appointment, sellers must already have at least one of the following: Tracking number, BOL (Bill of Lading) number, or PRO (tracking reference number), which must be filled in under “Tracking Details”.
  5. Linked IBRs: Add all inbound orders (IBRs) included in this delivery (maximum 10 IBRs). Multiple IBRs can be delivered under one appointment. All IBRs must be linked during booking, and each appointment can link up to 10 inbound orders.
  6. Unload type: Sellers can select one of the following:
    1. Live unload: On-site unloading. The driver waits at the warehouse and leaves with the tractor and chassis/container after unloading.
    2. Drop off: Drop-and-hook unloading. The driver leaves the chassis/container at the warehouse for unloading.
  7. Select the container type.
  8. Estimated arrival week: This value comes from the Confirm Shipment step and cannot be edited here. If changes are needed, sellers must return to the inbound order detail page and edit it.
  9. Seller contact information: Used for appointment confirmation. Please ensure accuracy!!
  10. Select the specific delivery date and warehouse arrival time. The selected time must be accurate, and deliveries must strictly follow the confirmed time window.
    1. If a date within the estimated arrival week is selected, more available time slots will be shown.
    2. Sellers may also select a date outside the estimated arrival week, but fewer time slots will be available.
  11. After completing the information, sellers must wait for email confirmation. Appointments will be reviewed within 48 hours. Once confirmed, sellers may deliver to the warehouse using a system screenshot or the confirmation email.
How to print appointment confirmation:
  1. Go to 【Inbound → Inbound Orders】 and locate the inbound order with a completed appointment
  2. Click the inbound order number (IBR-prefixed ID) to enter the inbound order detail page
  3. Select 【Appointment】, choose the appointment record, and click Print

3Inbound Appointment – Seller Self-Booking – Appointment Modification
  1. Delivery time change: If sellers need to modify the delivery time, they must cancel the existing appointment and rebook. After rebooking, warehouse confirmation is still required. If rescheduling is needed, the appointment must be deleted in advance. If the seller fails to deliver within the scheduled appointment time and does not cancel the appointment before the scheduled time, this IBR will no longer be eligible for rebooking.
  2. Delivery information change:
    1. Sellers click the inbound order “Order ID” to enter the inbound order detail page
select 【Appointment】, choose the appointment record, and click Edit.

4Inbound Appointment – Seller Self-Booking –Appointment CancellationFor cases where sellers need to change the delivery time or the appointment is rejected, sellers must cancel the existing appointment record first and then rebook.Note: If the delivery schedule changes and goods cannot be delivered according to the estimated arrival time, sellers must cancel the appointment in a timely manner. Starting in 2025, the platform will penalize appointments with no delivery.
  1. Sellers click the inbound order “Order ID” to enter the inbound order detail page, or click “Tracking info” to enter the appointment detail page.
  2. On the “Appointment” page, click “Cancel” to delete the existing inbound appointment record.
  3. After deleting the existing record, sellers can click “Create New” on the same page to submit a new inbound appointment. After submission, sellers must wait 48 hours for confirmation before delivering goods to the warehouse.

Freight Forwarder Booking on Behalf of the Seller

  2. Online inbound appointments can be completed by a seller-authorized freight forwarder, where the seller selects “My freight forwarder will book the appointment”.
  3. When making this selection, sellers must ensure all information is filled in accurately. Incorrect information may result in the IBR not being found.
  4. Sellers are required to share the appointment booking link and inbound order (IBR) information with the freight forwarder. Sellers may also enter the freight forwarder’s email address in the system to send an email notification.

  1. After receiving the booking link, the freight forwarder may create their own system account. The same account can be reused for future logins and bookings.
  2. The freight forwarder can click “Create New” on the page to create a new appointment.
  3. The freight forwarder must enter the IBR(s) to book the appointment.
Note:
  • • A freight forwarder may add multiple IBRs into one appointment. Multiple IBRs may belong to different sellers.
  • The freight forwarder must complete all required fields based on the actual cargo and loading information.
  1. Select the specific delivery date and warehouse arrival time. The selected time must be accurate, and delivery must strictly follow the confirmed appointment time window.

FAQ

Q: How should sellers book an appointment when multiple IBRs are consolidated into one truck?
A: When multiple IBRs are consolidated into a single truck, sellers must link all IBRs when booking the appointment. Each appointment can link up to 10 IBRs. Any IBRs not linked to the appointment may be rejected by the warehouse, or may result in inbound receiving exceptions after receipt.
